Job Summary

This position supports the college's strategic enrollment plan by providing recruitment and outreach services to new and prospective students, parents, and school professionals. Responsibilities include conducting outreach activities both in-person and online, such as visits to K-12 schools, participation in college and career fairs, and engagement at community and corporate events. The role involves representing the college at various recruitment events, tracking multiple cohorts, and managing recruitment campaigns. This position collaborates with internal and external stakeholders and utilizes a comprehensive understanding of student services and resources to assist a diverse student population in navigating the enrollment process. It requires responding to numerous inquiries through a customer relationship management (CRM) system, as well as via phone, chat, email, in-person, and other virtual technologies.

Essential Functions

40% - Performs a variety of student services functions with college stakeholders by managing, scheduling, organizing, and attending student recruitment events, such as application workshops, college presentations, campus tours, and tabling events at local high schools, community partners, businesses, and other nontraditional audiences; markets the college by disseminating college materials, offering advisement to the college admissions process, and by providing college resource information; supports prospective students in troubleshooting complex issues related to the student admissions process; prepares materials, schedules events with external stakeholders, and assists with the development of recruitment related materials and presentations; organizes and distributes information as necessary. This position will require access to view and update student records, adhere to institutional, district, and state policies and regulations, and handling of personal identifying information. Additionally, a high level of self-management of workflow and travel to scheduled recruitment events is expected.

25% - Frequently develops and maintains cooperative relationships with K-12 institutions, the Maricopa Community College District, the college campus and nontraditional partners to advance the mission and goals of Glendale Community College in relation to admissions, enrollment and retention. Assists with college and district-wide events, activities, and initiatives, maintains a working knowledge of degree and certificate programs offered within the district. Informs, offers, and provides stakeholders with various student support services, college resources, troubleshooting, training and technical support, workshops, presentations, and facilitates college visits and/or tours of the campus. Supports district recruitment councils by participating in district-wide, multi-college recruiting events, student services, and representation.

20% - Manages, monitors, assigns, and responds to incoming inquiries using a Customer Relations Management (CRM) system and a department service email account; preparing queries and reports regarding prospective and current students, future high school graduates, adult learners, and nontraditional inquiries; contacts and corresponds with leads by phone, email, chat, in person meetings, video conferencing or by scheduling a campus tour to assist navigating through the admissions and enrollment process. Processes and/or troubleshoots the college application, enrollment steps, provides degree, certificate, program, and department information; and utilizes the student information system to access student records, i.e., received transcripts, test scores, course schedules, account holds, financial aid information, and tuition expenses.

10% - Establishes relationships with various college departments, such as academic departments, Early College programs, Enrollment Services, Career Services, University Transfer, and other service areas by supporting, assisting, and collaborating with their efforts, events and services.

5% - Assists with special projects and other duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

High School diploma or equivalent and four (4) years' experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

Desired Qualifications

A. Bachelor's degree or higher

B. Experience working in a higher education environment with diverse student populations

C. Experience using a customer relations management (CRM) or student information systems software

D. Experience providing customer service via in-person, phone, chat/online, SMS, and/or email

E. Recurring experience developing and delivering presentations to various group sizes

F. Experience using computer software applications, including spreadsheets or databases

G. Effective written communication skills (as evidenced by submitted resume and cover letter)

Special Working Conditions

  • Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirement
  • Travel to campus during interview/selection process will be at candidate's own expense
  • Will be required to travel within MCCCD locations and within Maricopa County
  • May require flexible working hours, including early morning, late evening, and/or weekends
  • Will require frequent travel to event locations
  • May require prolonged periods of viewing a computer screen
  • May be required to lift, carry, and/or pull up to 30 lbs
