Office Assistant - Part Time

This is a PART TIME opportunity, three (3) days per week.

The Office Assistant provides administrative support to the IMA Boston team. Support ranges from clerical and logistical matters to document production and the effective use of office applications. The Office Assistant will respond promptly, thoughtfully, and effectively to changing work environments, changing priorities, and new situations. Additionally, the Office Assistant will possess the skills and ability to communicate effectively and appropriately with internal and external resources and is integral to the efficient workflow within the office environment.

ESSENTIAL DUTIES:

Administrative:
* Maintain, order, and manage office supplies
* Answer phones and distribute mail
* Calendar management and personal tasks of Executive Vice Presidents
* Schedule and coordinate meetings including room reservations and food order/delivery; on-site and off as required
* Prepare travel options and book Executive Vice President travel
* Ensure office space is clean and presentable

Miscellaneous:
* Ad hoc requests as needed
* Provide support to the sales team
* Assist Director of Operations with licensing requirements and filing
* Assist sales team with LinkedIn searches
* Assist with data entry projects as needed

Skills:
* Excellent customer service skills and exceptional attention to detail
* Superior writing skills-grammar, punctuation, spelling and proofreading
* Ability to communicate effectively and professionally
* Work independently with a variety of individuals and teams
* Demonstrates strong organizational and time management skills
* Models professional appearance and demeanor in a business casual environment
* Demonstrates discretion on confidential matters
* Knowledge of the principles and practices within a technical/professional discipline

Education & Certification:
* High School Diploma or equivalent, Associates or Bachelor degree a plus
* Minimum of 3 years of relevant experience
* Advanced level computer literacy in Microsoft Office Suite and other programs
