Administrative Assistant / Office Coordinator

What You'll Do



  • Supports and demonstrates IMA's core values

  • Interacts professionally and timely with internal and external clients via email, phone, and in-person
  • Ability to perform functions of the role within an IMA office at all times
  • Acts as back up to receptionist, including greeting guests, routing phone calls, conference room set up and creating a warm & hospitable atmosphere in the lobby
  • Ownership of routing and distributing incoming mail, preparing outgoing mail with postage, distributing faxes and maintains mailroom supplies
  • Maintains appropriate inventory of office supplies, coffee and kitchen supplies
  • Provides both administrative, accounting and clerical support to internal customers as needed with minimal guidance
  • Assists with internal and external office events including coordinating, venue set-up and in-event support
  • Coordinates with building manager for facility requests
  • Provides back up to Office Manager as needed
  • Assists with other miscellaneous duties and projects as assigned
  • Working as part of a fun, high-energy team


You Should Have



  • High school diploma and 1-3 years administrative experience required
  • Knowledge of general computer skill required
  • Ability to work in a fast-paced environment with attention to detail and ability to juggle competing tasks and demands
  • Demonstrates poise, tact, and diplomacy always
  • Must have proven superior oral and written customer service skills
  • Intermediate experience with MS Office products required (specifically PowerPoint, Outlook, Word, and Excel)
